Office Manager in Tema

OVERVIEW

A reputable company in Tema seeks the expertise of an Experienced Office Manager to hire.

Applicants must live in and around Tema Community 2.


WHAT YOU WILL DO

  1. Serve as the point person for office manager duties including:
    • Maintenance
    • Mailing
    • Supplies
    • Equipment
    • Bills
    • Errands
    • Shopping
  2. Schedule meetings and appointments
  3. Organize the office layout and order stationery and equipment
  4. Maintain the office condition and arrange necessary repairs
  5. Partner with the CEO to update and maintain office policies as necessary
  6. Organize office operations and procedures
  7. Coordinate with IT department on all office equipment
  8. Ensure that all items are invoiced and paid on time
  9. Manage contract and price negotiations with office vendors, service providers and office lease
  10. Provide general support to visitors
  11. Assist in the onboarding process for new hires
  12. Address employees queries regarding office management issues (e.g. stationery, Hardware and travel arrangements)
  13. Liaise with facility management vendors, including cleaning, catering and security services

REQUIRED QUALIFICATIONS, SKILLS AND COMPETENCES

  • Minimum Degree from the recognized university
  • Must be firm and responsible
  • Ability to manage people
  • Proven experience as an Office Manager, Front Office Manager or Administrative Assistant
  • Knowledge of Office Administrator responsibilities, systems and procedures
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular)
  • Hands on experience with office machines (e.g. fax machines and printers)
  • Familiarity with email scheduling tools, like Email Scheduler and Boomerang
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills in a fast-paced environment
  • A creative mind with an ability to suggest improvement.

Starting salary of GHC2,000 based on experience
