We are looking for an organised, confident and reliable Office Manager for our Ghana office.
\nThe Office Manager will be responsible for office administration, travel coordination for our field team, planning meetings and communicating with clients, expense reimbursements, supplier payments, issuing customer invoices, and lead on office systems, policies and procedures.
\nThe ideal candidate will be competent in prioritising work, organised, self-motivated, and trustworthy. They will also be articulate and able to engage confidently with Elephant\u2019s clients. They will be able to handle multiple tasks whilst keeping both the in-house and field staff supported.
\nFinally the Office Manager will be able to ensure the smooth running of Elephant\u2019s offices and teams, which is a critical success factor to Elephant\u2019s sustainable growth.<\/p>\n

\n\u25cf Coordinate office activities to ensure efficiency and high level of productivity;
\n\u25cf Assist in drafting and ensure order and compliance with Elephant company policies in Ghana.
\n\u25cf Manage the office in Accra, receiving visitors and post;
\n\u25cf Track stock of office supplies and refill when necessary; and
\n\u25cf Offer administrative support to Elephant\u2019s senior team. Correspondence and meeting planning.
\n\u25cf Act as a central point of contact for Elephant\u2019s staff and clients
\n\u25cf Support the senior team with schedule management, letter writing, meeting arranging, etc. Travel planning
\n\u25cf Manage travel arrangements, agenda and appointments for the Elephant team;\u25cf Identify and book good value apartment accommodation for site setup teams as they launch new sites; and
\n\u25cf Coordinate travel arrangements for UK and other Elephant staff visiting Ghana.<\/p>\n
\n\u25cf Monitor and support budgeting and bookkeeping procedures for the company;
\n\u25cf Develop and manage relationships with suppliers, including making payments;
\n\u25cf Screen suppliers and maintain preferred supplier lists; and
\n\u25cf Issue and follow up on invoices with Elephant clients.<\/p>\n
\n\u25cf Schedule and manage interview appointments for Elephant team leads.
\n\u25cf Secure all Elephant contracts and records safely at the office; and
\n\u25cf Build processes to check and monitor travel expenses by colleagues.<\/p>\nSkills, Attributes and Experience<\/h4>\n

\n\u25cf BSc\/BA in office administration or relevant field is preferred;
\n\u25cf Proven experience as an office manager, administrator or assistant, or relevant role for 4 to 6 years;
\n\u25cf Excellent communication and interpersonal abilities;
\n\u25cf Excellent organizational skills;
\n\u25cf Familiarity with office management procedures; and

\nWe aim to provide all members of our team with flexibility. We will shortly be moving into a full-time office and would expect the Office Administrator to work from there at least four days per week.<\/li>\n
