Administrative Manager

Our client is a global leader in lithium battery Energy Storage Systems (ESS), providing innovative and sustainable energy solutions for renewable energy, telecom, commercial, and industrial sectors. As part of its expansion into Ghana and the West African sub-region, it is establishing a Ghana office to drive market penetration, partnerships, and customer support.

Main products: household energy storage batteries, household energy storage all-in-one machines, household movable energy storage systems, small commercial energy storage systems.

Job Summary  

The Administrative Manager will oversee the day-to-day administrative operations of the Ghana office, ensuring smooth and efficient functioning. This role will involve managing office resources, coordinating with stakeholders, and supporting business development activities. The ideal candidate will be highly organised, proactive, and capable of managing multiple tasks in a fast-paced environment.

WHAT YOU WILL DO

1. Office Management

  • Oversee daily office operations, including procurement of supplies, maintenance, and vendor management.
  • Ensure a safe, secure, and productive work environment for staff.
  • Manage office budgets and expenses, ensuring cost-effectiveness.

2. Stakeholder Coordination

  • Act as the primary point of contact for internal and external stakeholders, including suppliers, partners, and government agencies.
  • Schedule and coordinate senior management meetings, appointments, and travel arrangements.
  • Maintain professional communication with clients, partners, and team members.

3. Research and Data Management

  • Conduct research on Ghana’s economic status, energy policies, and market trends to support business decisions.
  • Compile and analyse data on electricity price trends, renewable energy policies, and lithium battery certification requirements.
  • Track exchange rate fluctuations and their impact on import costs.
  • Prepare reports, presentations, and summaries for management and partners.

4. Compliance and Documentation

  • Ensure compliance with local regulations, including tax laws, import/export requirements, and labour laws.
  • Manage documentation for lithium battery certification, including Energy Ministry registration and SGS certification.
  • Maintain accurate records of contracts, agreements, and other legal documents.

5. Business Support

  • Assist in the preparation of business proposals, partnership agreements, and marketing materials.
  • Support the implementation of pilot projects and initial bulk orders.
  • Coordinate technical training sessions and after-sales support activities.

6. Financial Administration

  • Monitor and manage office budgets, including expense tracking and reporting.
  • Liaise with local banks and financial institutions for payment processing and financing options.
  • Ensure timely payment of invoices and salaries.

REQUIRED QUALIFICATIONS, SKILLS AND COMPETENCES

  • Education: Bachelor’s degree in business administration, Management, or a related field.
  • Experience: Minimum of 3-5 years of experience in office administration, preferably in the energy, telecom, or industrial sectors.
  • Strong organisational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and data analysis tools.
  • Knowledge of Ghana’s regulatory environment and energy sector policies.
  • Ability to work independently and as part of a team.
  • Attributes: Proactive, detail-oriented, and results-driven.
